How scanning at the door works
No hardware, just the phones already there
The scanner is a Progressive Web App: you open it in the browser of an ordinary smartphone or tablet and add it to the home screen. Nothing to rent, nothing to collect, nothing to return. Any volunteer with a camera-equipped device can scan, which means that at a busy entrance you simply open a second and third lane instead of queuing behind one device.
Works without internet too
You sign in once and download the guest list to the device. After that you keep scanning with no connection — useful in a parish hall with thick walls, on a field with no coverage, or simply when a thousand visitors saturate the mobile network at once. As soon as you are back online, one tap syncs the offline scans.
Duplicate tickets are flagged
A ticket that has already been scanned shows a clear warning on the second scan rather than a green tick. A screenshot doing the rounds in a group chat therefore does not get a second person in. If several lanes scan in parallel, you see it after syncing in that ticket’s scan history.
Several scanners, one overview
All devices work on the same event, so you never have to split the guest list between teams. The dashboard tracks how many visitors are inside, and that number is useful during the event: it tells you whether to open the second entrance and, afterwards, how many presold tickets never turned up. Anyone settling up afterwards uses the same number: tickets sold next to tickets scanned puts the no-show rate in black and white, and that is the best basis for sizing the next edition.
What your volunteers need to know
The briefing fits on a note: open the link, sign in, download the list, point the camera at the QR code. Green means let them in, red means hold them and send them to the desk. Because there is nothing to configure per device, someone who turns up to help at 8pm can start scanning right away. One useful briefing detail: have each lane download the guest list the moment they get the device, not when the first visitors are already queuing. Then the only thing left to go wrong is a flat battery.
