A checklist per kind of event
The obligations for a party are not those of a dinner event, and a sports tournament’s are different again. The checklist therefore starts from the event type you create, rather than one general list you have to sift for what applies to you. Tasks come with a phase — well in advance, shortly before, during, after — so the application that has to go in six weeks ahead is on your list six weeks ahead.
Noise, fire safety, food and insurance
The themes that go wrong in practice are always the same: noise limits and whether you need a measurement or a limiter, fire safety and the layout of your tents and emergency exits, food hygiene if you cook or have others cook, and the insurance you need for volunteers and visitors. Every task points at the competent authority rather than at our own summary.

Playing music at a public event in Belgium involves two things: SABAM for the authors’ rights, and equitable remuneration for performers and producers. Those are two separate declarations to two separate parties, and that is exactly what organisers forget most often. The checklist makes them two separate tasks with a deadline and the link to the declaration itself.
Flanders is worked out, Brussels and Wallonia are not
The rules are worked out for Flanders, down to what your municipality expects of you. For Brussels and Wallonia we do not offer false certainty: there you get a general warning task pointing you at your own municipality or region. That is deliberate — a checklist pretending to be complete for a territory we have not worked out is worse than no checklist.
GDPR and VAT live in the platform, not in a manual
You sell tickets, so you process visitors’ personal data. There is a data processing agreement you can read and keep on file, buyers can request or delete their data, and retention periods expire on their own. VAT is set per ticket type — 0, 6 or 21 per cent — so your settlement is usable for your bookkeeping. The database and uploads sit in the EU; sub-processors outside the EEA work under standard contractual clauses.
